This page is the beginning of an attempt to list a complete and accurate description of the major organizational resources available to the family history researcher involved in eastern German areas. Civil and church records. NOTE: check the LDS catalog first, many of the records have been filmed and are much easier to obtain (and a lot less costly) by renting the film, than by sending a request to the Polish archives.

 Procedure

You must first write to the main archive and they will direct you to the regional archive. This is a long, three-step process. Be prepared to spend a year, with 2-3 months between letters.

  • Send your request to the Main Archive office in Warsaw. Be VERY SPECIFIC in your request: name, event, date and place. They will answer your query with a fee list, and they will also tell you where and how to send payment for your research. Usually they want the money in advance.
  • Send your initial payment, following the instructions.
  • When you get the notice that it is credited, then you send the notice to the regional branch and they will get the information that you want. The branch archive must have received confirmation of permission and of payment, before they will process a record lookup. Set a money limit, or you may be charged hundreds of dollars. The Regional Archive will send you notification of what records are available and how much the charges are.
  • Pay the charges and you will receive the materials.
Note: I assume that the material (in italics) is correct. I've made some assumptions. jab

 Below is typically what you can expect to receive from the Main Archive in Warsaw:

Pay by Eurocheck to: Nazelna Dyrekcja Archiwow Panstwowych (this is the title of the main Archive
Pay by Visa card at your own bank, (they will give you instructions)
Send payment to: (they will give you the address and the account number where they want it sent.)

Fees:
Preliminary fee: $30.00 (to main archive to do the looking for your request)
Hourly fee: 15.00 (this is where you want to set a limit!)
1 copy of a document:15.00
fee for copying 1-2 pages 10.00
over 2 pages, each page is 5.00
Microfilm copy, per frame: 2.00
Costs to copy property documents are 4X above amounts.


TIPS: In your first letter should ask if they have emigration records for
the place and year THEN also ask if they have church records for that place and what
years they cover. Ask, "if not, do they know where they might be?" (THIS
MUST BE EXACT).

Use present-day polish town names and do all possible in Polish or English. All information will come in Polish. Even if the original records are in German, they will translate them into Polish before sending them on to you.

Do not send money first, they will bill you but set a limit for that search.

in State Archives
